Sign-Up & Attendance Guidelines

Greetings adventurers! Here’s how you can join the weekly Dungeons & Dragons sessions at Spelslot, every Wednesday. Please read the details carefully to ensure a smooth journey to the table.

📝 Sign-Up Process

When to Sign Up: Sign-ups open Wednesday at 00:00 and close Monday at 00:00.
How to Sign Up: Fill out the Google Form within this window.
Late Sign-Ups: If you miss the deadline, you can email Spelslot@gmail.com. Late sign-ups will only be considered if there’s remaining space after on-time sign-ups are processed, and a reply is not guaranteed.

❌ Signing Off Process

How to Sign Off:

- - Before signing up
    - Use the same Google Form to let us know you’re not coming
  - After signing up
    - Edit your response using the link in the confirmation email.

Last-Minute Cancellations:

- - Cancellations on Tuesday or Wednesday must be sent via email to Spelslot@gmail.com.
  - Messages to individual organizers or general groups do not count as official cancellations.

Penalties for Late Changes:

- Email cancellations on Tuesday/Wednesday: 1 penalty point.
- No-shows or unofficial cancellations: 2 penalty points.
- Each penalty point reduces your attendance record for story group placement. For instance, if you have 5 attended sessions but 2 penalty points, only 3 sessions count toward your placement score. There’s no cap on penalties, so consistent violations may result in significantly reduced priority.
- Organization holds the right to remove penalty points on a case by case basis.

⚖️ Group Creation & Placement

Each month, we organize groups based on the following:
Attendance Record: Your attendance over the last 3 months, adjusted for penalties after the second offense.
Available DMs:
- If 6 story DMs are available, we prioritize the top 30 players (6 DMs × 5 players) with the highest attendance scores.
These players will have a spot at a story table for each session that they are confirmed.

📬 Confirmation & Waitlist

Confirmation: You’ll receive an email confirming your attendance or notifying you of a waitlist placement.
Group Assignments:
- If you’re confirmed and part of a story group, you’ll automatically rejoin your group.
- If a story group has absentees, those spots will be filled with other players.
- Remaining players will be placed in non-story groups.
Non-Story Players: If you attend multiple sessions, we’ll try to place you back with your previous non-story group, provided there’s room.
Waitlisted players are chosen based on sign-up timing, with priority given to those who signed up on time before late sign-ups are considered.

🕒 Important Notes:

Group Capacity: Total player capacity depends on all available DMs, including non-story DMs. For example:
- 6 story DMs + 2 non-story DMs = 40 players.
Monthly Placement: Group placements consider your attendance and penalty-adjusted record for the last 3 months. Being part of a story group doesn’t guarantee a full month of spots, so sign up promptly!
